E&E Outreach LLC ("E&E Outreach", "we", "us", or "our") provides AI-powered customer follow-up software for small businesses. This Privacy Policy explains how we collect, use, and protect information when you use our service at eeoutreach.com.

Information We Collect

We collect the following types of information:

• Account information: Your business name, email address, phone number, and password (stored as a secure hash).
• Customer data you upload: Names, email addresses, phone numbers, and notes about your customers. This data belongs to you.
• Calendar data: If you connect Google Calendar, we read your appointment information (titles, times, and attendees) to schedule follow-ups. We use read-only access and do not modify your calendar.
• Messages: Email and SMS content generated by our AI and sent to your customers.
• Usage data: Basic analytics about how you use the service, such as login times and feature usage.

How We Use Your Information

• To provide the core service: generating follow-up messages, sending emails and texts, and syncing calendar appointments.
• To authenticate you and keep your account secure.
• To improve the product based on aggregated usage patterns.
• To respond to support requests and product feedback.

Google User Data

When you connect Google Calendar, we request read-only access to your calendar events. We use this data solely to:

• Display your appointments inside your E&E Outreach dashboard.
• Trigger automated follow-up messages based on appointment dates.

We do not share, sell, or transfer Google user data to any third party. We do not use Google user data for advertising. We do not allow humans to read your data except (a) with your explicit consent, (b) for security purposes, (c) to comply with applicable law, or (d) where the data is aggregated and anonymized.

You can revoke our access to your Google account at any time by visiting your Google account permissions page or by clicking "Disconnect" inside the E&E Outreach calendar settings.

How We Share Information

We do not sell your data. We share information only with the following service providers, who help us run the platform:

• Anthropic (Claude API): Customer information is sent to Claude to generate personalized message content. Anthropic does not train on this data.
• Twilio: Phone numbers and SMS message content are sent to Twilio to deliver text messages.
• Resend: Email addresses and message content are sent to Resend to deliver emails on behalf of your business.
• Hosting (Railway): Our servers and database are hosted on Railway infrastructure.

We may also disclose information if required by law, subpoena, or to protect our rights and the safety of our users.

SMS / Text Messaging Data

When a small business using E&E Outreach sends SMS messages to its customers through our platform, we process the recipient's phone number, the message content, and delivery status solely to transmit the message and provide reporting to the business that sent it.

No mobile information (including phone numbers and SMS opt-in data) will be shared with third parties or affiliates for marketing or promotional purposes. All of the categories described in this Privacy Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties for their own marketing use.

Phone numbers and opt-in records are shared only with our SMS delivery provider (Twilio) for the sole purpose of transmitting the requested message, and with the small business that originally collected the phone number from its own customer.

Recipients can opt out of SMS messages at any time by replying STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, or QUIT to any message. Opt-out requests are honored immediately at both the carrier level (via Twilio) and within our platform database.

Data Retention

We retain your data for as long as your account is active. If you cancel your account, we delete your data within 30 days, unless we are legally required to keep it longer.

Security

We use industry-standard security practices including encrypted connections (HTTPS), hashed passwords, CSRF protection, and rate limiting. No system is perfectly secure, but we take reasonable steps to protect your data.

Your Rights

You can request to access, correct, export, or delete your data at any time by emailing support@eeoutreach.com.

Children's Privacy

E&E Outreach is a business tool not intended for users under 18. We do not knowingly collect data from children.

Changes to This Policy

We may update this policy from time to time. The "Last updated" date at the top reflects the most recent revision. Continued use of the service after changes constitutes acceptance of the updated policy.
